The Assembly will be start at 8am on Wednesday 30th of September, in order to feel refreshed we enourage members to arrive Tuesday 29th of September in the late afternoon or early evening. The assembly will finish around 4pm on Friday 2nd October 2026. Convention will then start on Friday 2nd October 2026 in the early evening and finish no later than 2pm on Sunday 4th October 2026.

Many of the questions we receive are already answered below, and reading this information first will help you choose the accommodation that best meets your needs, understand payment arrangements, and avoid unexpected costs or misunderstandings.

Registration Essentials
Q: When does registration close?
A: Registration closes on 31 August 2026. We recommend registering as early as possible, particularly if you require accommodation.
Q: Is there an early-bird discount?
A: No. Registration fees are the same regardless of when you register.
Q: Will I receive a confirmation email?
A: Yes. Confirmation emails will be issued automatically following registration.

Convention & Assembly Fees
Q: What is the registration fee for attending Assembly?
A: €90 per person. This is only payable by members who can vote. Plus €6 per day for tea/coffee.
Q: What is the registration fee for attending convention in person?
A: €25 per person.
Q: What is the registration fee for attending convention virtually?
A: €15 per person.
Q: What does the registration fee cover?
A: Registration includes:
- Conference facilities
- Printed materials (The binder must be puchased sepretly if required)
- Tea, coffee and other drinks
- Convention participation
Q: Is there a separate Assembly registration fee?
A: Yes. There is a seperate fee for Assembly and a seperate fee for Convention activities.

Q: Which accommodation is best for attendees with mobility disabilities?
Centrum SK is the recommended and prioritised accommodation for attendees with mobility disabilities because:
- Ground-floor rooms are available
- The venue is fully accessible
- Wheelchair ramps are available
- No travel is required between accommodation and meeting rooms
Attendees with mobility needs will receive priority for these rooms.

A: €75 per person per night.

A: Per person.
Q: Can I book a double room for single occupancy?
A: No. Due to limited room availability, double rooms cannot be occupied by a single person.

A: Eight rooms, which may be configured as single or double occupancy.
Klub Sosnowy

A: A hotel located approximately 15 minutes’ walk from the venue.

A: Six rooms are currently reserved, with additional rooms potentially available if needed.

Q: Are meals included?
A: Yes, meals are included with accommodation packages.

A: Meals will be sugar-free and gluten-free, with vegetarian options available.
Q: Can vegan meals be provided?
A: No.

A: Please advise the organisers during registration. They will attempt to accommodate requests where possible.
Q: Can I purchase meals individually?
A: No. Meals operate as a buffet arrangement and must be pre-booked.
Q: Can attendees staying elsewhere eat at the venue?
A: Yes, but meals must be ordered and paid for before arrival. Meals cannot be purchased on-site.
Tea, Coffee & Water
Q: Will tea and coffee be available?
A: Yes. Tea, coffee and drinks are included.

A: Yes. Tap water is available free of charge. Bringing a reusable bottle is recommended.
Cancellation & Refunds
Q: What is the cancellation deadline?
A: 31 August 2026.
Q: What happens if I cancel before 31 August?
A: You will receive a full refund.
Q: What happens if I cancel after 31 August?
A: Accommodation and meal charges become non-refundable and are subject to a 100% cancellation fee.
Payments
Q: Who collects payments?
A: Accommodation and convention payments are made directly to the Polish National Service Board. Convention registration fees will be payed to OA Region 9.

A: Yes. PayPal payment details will be provided during registration.
