The Assembly will be start at 8am on Wednesday 30th of September, in order to feel refreshed we enourage members to arrive Tuesday 29th of September in the late afternoon or early evening. The assembly will finish around 4pm on Friday 2nd October 2026. Convention will then start on Friday 2nd October 2026 in the early evening and finish no later than 2pm on Sunday 4th October 2026.

What is the Charitable Incorporated Organisation?

The Charitable Incorporated Organisation is the legal entity that provides governance and due diligence for Overeaters Anonymous Region 9’s banking procedures. In order to have a bank account we needed to form a legal structure and a Charitable Incorporated Organisation is form of “charity light” and is registered with the Charities Commission for England and Wales. The Charitable Incorporated Organisation is made up of 3 member trustees that are appointed by the Region to oversee the banking. The Charitable Incorporate Organisation and Overeaters Anonymous Region 9 as a whole are not the same thing; the Charitable Incorporated Organisation only manages the banking and reporting to the Charities Commission and operates under the guidance and instruction of the Treasurer who manages the budget and funds for the Region. Each year a formal letter is sent by the Region 9 Board with the approved Budget of the Assembly and this letter provides the Charitable Incorporated Organisation with the information needed to make payments on the Region’s behalf.

The work of the trustees of the Charitable Incorporated Organisation is vital to the work of Overeaters Anonymous Region 9 as a whole and this year we are extremely grateful that two new trustees have stepped up.

Who are the Trustees?

Since its formation Alexandra D and Mel M were founding trustees of the Charitable Incorporated Organisation, joined by Natasha P who is also Vice Chair of the Region 9 Board and acts as the liaison between the Charitable Incorporated Organisation trustees and the Region 9 Board. As the former banker to the Region Mel mentored Natasha into the banker role, while Alexandra was the chair of the trustees and focussed on the governance documents, policies and sat on the Bylaws committee for Region 9 to advise on Charitable Incorporated Organisation related policies. Alexandra and Mel are rotating off this service this year and at time of writing we know unofficially that two new trustees are joining us; Michal K and Ghislain A will be joining us, we are just waiting on the formal confirmation of their appointment by the Region 9 Board so the Charities Commission listing can be updated.

What do we do?

The Charitable Incorporated Organisation acts in a similar capacity to the old role of “banker”; for now, Natasha P is overseeing the banking duties but ideally all 3 trustees will share the banking roles; making payments, tracking income and expenditure against budget lines (reconciliations), ensuring accounts are produced and audited and submitted with an Annual Report to the Charities Commission. The trustees of the Charitable Incorporated Organisation are responsible for ensuring that there is an auditable paper trail showing due diligence regarding our fiscal responsibilities and we remain neutral in matters relating to the Regions finances.

What is new to report to the Assembly?

That Alexandra D and Mel M will be stepping down after many years of serving the CHARITABLE INCORPORATED ORGANISATION and being the founding trustees.

Michal K and Ghislain A will be stepping up, and Natasha P remains, as the liaison to the Region board.

We must find a new accountant after our current one has had to retire on health grounds, this is a task ongoing.

Another task ongoing is the Policy review. We completed a review of the Constitution and continue to work with the Bylaws committee chair to ensure congruence with the Policies of the Region.

All financial information, accounts and budget will be presented by the Treasurer Robin S to the Assembly.
