A Hybrid Assembly is an amazing opportunity to have the greatest possible representation of service bodies from across OA Region 9 and we hope this will be the best attended Assembly yet.

We would like to assist with funding as many representatives as possible within the limits recommended by the Assembly in 2024. When we have all the applications we will make allocations as best we can.

Please keep in mind that a Hybrid Assembly does offer intergroups and service boards the possibility of sending representatives virtually.

To prioritise applications for financial assistance we will triage them according to the following criteria:

  1. Service Body has not previously sent a representative to OA Region 9 Assembly
  2. Service Body has at least 50% of the total cost to contribute
  3. Service Body would not be able to send representative if we do not assist

Important Information:

  • Please estimate your costs in GBP (£)and provide a detailed breakdown of your expenses.
  • Please refer to the Assembly and Convention ‘All you need to know about Assembly and Convention link’ for the cost of accommodation and food.
  • Please add an extra percentage to your expenses in case prices, especially for airline tickets, increase in the next months. Special requirements must be included in your application and approved before they are purchased (for example: extra leg room, single room).
  • The Region will pay exactly the amounts you have budgeted. Unexpected expenses need to be presented to the board for a decision.
  • Once you submit the form, your service body chair must confirm your appointment as a representative.
  • Enclose a financial statement of your service body.
  • Incomplete applications and those received after this date will not be considered
  • Funded applicants must complete the “actual” expense column within thirty days of attending the Region 9 Assembly and return a completed copy with receipts along with any unused funds to Region 9.
  • It is important to vote in an alternate in case your representative is unable to go.

Notification of Representative Support Fund awards will be sent by August 14th 2025.

An email will be sent to the representative’s email address listed on the application. As fund requests sometimes exceed available funding, a representative waiting list will be created, if needed. It is imperative that each recipient notify Region 9 of its intention to accept the award by the date given in the award letter. If Region 9 does not have your response, the funds may be awarded to other intergroups and service boards on the waiting list.

Our group / service board requests assistance from the OA Region 9 Representatives Support Fund to send a representative to the Hybrid Region 9 Assembly in Paris, France.

It is important that those service bodies requiring assistance return the application form in time so that we are able to provide financial help.

OA REGION 9 POLICIES AND PROCEDURES

6.5 FINANCIAL ASSISTANCE FOR REPRESENTATIVES TO REGION 9 ASSEMBLY

(According to R9 Policies & Procedures ARTICLE 6.5)

  1. Financial assistance can be granted to representatives (for assembly and convention) of Region 9 service bodies, or representatives of areas with no service body, and R9 Committee Chairs travelling to Region 9 Assemblies. (2017)
  2. Application forms will be distributed with Assembly Invitation, and will be posted and remain on R9 Website. (2017)
  3. Completed application forms will be submitted to the R9 Treasurer at least 3 months prior to the date of the Assembly. (2012g)
  4. Service bodies requesting such funds are required to attach to the application form – the latest financial summary of the service body plus give details of any funding for attendance at Region 9 Assembly from elsewhere. (2017)
  5. The Region 9 Board are authorized to consider applications having regard to the funds agreed in the prior budget by the Assembly. (2017)
  6. Priority for financial assistance for regional representatives travelling to the R9 Assembly will be given to those IGs and NSBs that: (2017)
    1. Cannot afford to fund a representative on their own,
    2. To those with the greatest distance to travel,
    3. And to those attending their first Assembly. (1996h) (2011c).
  7. Payment of this assistance will be arranged by the Treasurer after approval. (2017)
  8. Note that the funds allocated for representative assistance are limited and there is no guarantee that the support will be granted to all those applying. (2017)

QUALIFICATIONS FOR REGION 9 REPRESENTATIVES

(According to R9 Policies & Procedures ARTICLE I, Section 8)

  1. Each representative will be elected by their service body or unaffiliated group.
  2. Each representative will have a minimum of six months of current abstinence and one year of service beyond the group level.
