Service Coordinators – Sponsorship

The Assembly will be held on the 18th of May from 2 pm to 7 pm UK time

At the 2024 assembly three participants expressed their interest in Sponsorship coordination. We began by having our first discussion in mid November where the Region 9 Chair and Vice Chair offered us guidance about this particular service position. Currently there are two members working actively with Sponsorship coordination.

As Sponsorship coordinators our duties involve, but are not limited to:

1. Keeping an up-to-date list of available sponsors in Region 9.
2. Answering inquiries from OA members who request the Sponsor list as well as from members who are willing to offer their service as a sponsor.
3. Working closely with the Region 9 board to make sure all data handling meets the requirements for General Data Protection Regulation compliance.
4. Informing the Service Bodies in Region 9 of our work so that the members who need a sponsor or are willing to sponsor know to reach out to us.

The sponsorship coordinator position had been vacant for quite some time before the 2024 assembly. Because of that our first steps have been to process the backlog of emails and to contact all the sponsors listed in 2023 or at the beginning of 2024 to see if their data is still current and they continue being available to sponsor. We have also had the privilege to learn from the Polish Sponsorship coordinator who visited one of our meetings and shared their experience.

Our aim is to have the following actions completed by the 2025 spring assembly:

• Have an up-to-date list of available sponsors. This will serve as a starting point and new sponsors will continually be added to the list as they sign up.
• The backlog of emails has been cleared and all new inquiries will be responded to in a timely manner.
• A call for new sponsors will be published in the Region 9 newsletter.
• Appropriate General Data Protection Regulation guidelines are in place and everyone who contacts us knows how their data is handled.

After the 2025 spring assembly we plan to work together with the Region 9 Digital Officer to see if some parts of the sponsor sign up process could be automated for more convenient handling.
