Region 9 Assembly

Board Reports

Secretary

Following the assembly where I served as a parliamentarian, I was deeply moved by the events and inspired to apply for the secretary position. Motivated , I submitted my application and was appointed by the board as the new secretary.

In my role as secretary, I have undertaken a variety of responsibilities. I have written several minutes, ensuring that all discussions and decisions were accurately documented. These minutes have been crucial for maintaining a clear record of board activities and transparency. Additionally, I have played a key role in assisting the board with parliamentary procedures, ensuring that meetings were conducted in an orderly and efficient manner. It has been a privilege to contribute to the smooth functioning of the board in this capacity.

Beyond my primary duties, I also extended my support to the communications officer. I helped them understand their role more comprehensively, sharing insights and offering guidance on effective communication strategies. This collaborative effort was aimed at enhancing the overall effectiveness of our board’s communications and ensuring that all members were well-informed.

A couple of months into my appointment, the Communications Officer needed to step down due to unforeseen circumstances. Recognizing the urgency of the situation, I volunteered to take on the dual roles of secretary and communications officer. This decision was driven by the significant amount of work already completed in preparation for the assembly. Transitioning these tasks to another individual would have required substantial time and effort, potentially disrupting our program. As a communications officer, I managed various functions, including drafting and disseminating important communications, coordinating with board members, and ensuring all members were informed of key developments. The dual roles were demanding and required a high level of organization and dedication. Despite my best efforts, it became clear that managing both roles simultaneously was overwhelming and beyond my capacity.

Recognizing the need for additional support, the board appointed a board administrator to assist with some of the secretary’s duties. This decision was instrumental in alleviating my workload and ensuring that both roles were managed effectively. I want to thank Hafi, the board administrator, for their incredible help and unwavering support. Hafi’s assistance was invaluable in maintaining the efficiency and effectiveness of our board operations.

As my time as secretary comes to endsct the experience with a sense of fulfilment and pride, serving in this role has been a rewarding experience, and I have cherished the opportunity to contribute to the board’s success. While I will not be continuing as secretary, I am more than happy to offer my support and guidance to the incoming secretary. I am confident that they will bring fresh perspectives and continue to uphold the high standards of our board.

In conclusion, my journey as secretary has been marked by significant learning, collaboration, and personal growth. I am grateful for the opportunity to have served in this capacity and look forward to supporting the new secretary in any way I can. Thank you to the board and all those who give service for their trust and support throughout my time as secretary.

With love,
Sharlotte G
